AI bookkeeping

AI bookkeeping for accountancy firms.

AI bookkeeping is bookkeeping in which software with artificial intelligence reads invoices and receipts, makes a posting proposal per line and lets a human take a look when in doubt. For a firm that means, concretely: from around 60% processed automatically with classic scan & recognise software to 99%+ with AI, while you stay in control.

Definition

AI bookkeeping: processing financial documents with AI models that understand the content, instead of templates that expect a fixed layout. The AI proposes a posting for each invoice line; the bookkeeper only reviews the doubtful cases.

Also known as: AI bookkeeping software, bookkeeping with AI or bookkeeping robot. Related, but older: scan & recognise software based on OCR and templates.

Honest about the technology

What can AI do in bookkeeping today, and what can it not?

AI is not a magic wand. Anyone who promises that everything happens by itself is only moving the review work to a later stage. This is the honest state of affairs:

This is what AI can do

  • Read invoices and receipts at line level, including till receipts, poor scans and invoices with mixed VAT rates
  • Learn from your corrections through learning rules per firm, administration or supplier
  • Recognise doubt and then put the document to you instead of guessing
  • Take context into account: earlier postings, fixed coding agreements and the chart of accounts from your package

This is what AI cannot do

  • Post 100% automatically and blindly without a review threshold; a good bookkeeping robot knows when it is not sure
  • Take over the bookkeeper's ultimate responsibility; that stays with the firm
  • Guess what your firm wants to do with a doubtful case; that is why you record agreements as rules instead of hoping it turns out well

How it works at Agentancy

How does Agentancy use AI?

Four steps, from document to posting in your own package. The result: 99%+ of documents processed automatically, with an average of around 30 seconds of review time per document put to you.

1. Line-level recognition

The AI reads not just the invoice total, but every line separately: description, amount and VAT rate. Including till receipts, mixed rates and layouts it has never seen before.

2. Context per firm and client

Every posting uses the context of your firm, the administration and the supplier: earlier postings, fixed coding agreements and your own rules. You can save a correction as a learning rule with a single confirmation.

3. A review when in doubt

When confidence is high the posting goes through; when in doubt the document lands in your work tray with the question attached. You set the threshold, the AI never guesses quietly.

4. Posting into your package

The posting proposal goes straight into your own accounting package, such as Exact Online, Twinfield, e-Boekhouden, SnelStart or AFAS. Your way of working and your files stay where they are.

FAQ

Frequently asked questions about AI bookkeeping

Yes, provided the software has a review threshold. Reliable AI bookkeeping does not mean that every document is posted blindly, but that the software knows when it is sure and when it is not. Agentancy posts automatically when confidence is high and puts documents it doubts to you. That is how you reach 99%+ automation without unchecked errors ending up in the administration.
No. AI replaces the retyping, not the profession. The bookkeeper remains ultimately responsible for the administration and keeps the work that calls for judgement: agreements with the client, assessing doubtful cases and interpreting the figures. What disappears is the manual entry of invoices and receipts that scan & recognise software leaves behind.
At Agentancy you pay per processed document in Tandem: cumulatively from €0,40 to €0,20 per document, depending on your volume. In Totaal you pay per active administration: the first administrations cost €9 each per month and above the tier limits the rate per administration drops, with a firm minimum of €90. Trying it is free: 30 days or 100 documents, without a credit card.
Invoices contain personal data, so the GDPR simply applies. Ask every supplier where the data is hosted and stored, and conclude a data processing agreement. At Agentancy the hosting is in the Netherlands and documents are stored within the EU; a data processing agreement comes as standard with the subscription.
Agentancy posts straight into Exact Online, Twinfield, e-Boekhouden, SnelStart and AFAS. So you do not have to switch packages: the AI does the recognition and prepares the posting in the environment you already work in. The integrations page shows how the connection works for each package.
Bookkeeping robot is a popular name for software that carries out bookkeeping work automatically: reading documents, making a posting proposal and putting the posting into the package. Modern bookkeeping robots use AI models instead of fixed templates, which means they can also handle till receipts, unusual invoice layouts and invoices with several lines and VAT rates.
